In celebration of our 40th year, we’re inviting you to give 40 hours of service a year-long call to service – individually or as part of a team. Every hour you give creates hope, stability, and connection for people experiencing homelessness. Together, we can make a lasting impact.

Please note that the shelter will be closed on Wednesday, April 22nd and Thursday, April 24th for our Quarter 4 Staff Retreat.
All volunteer shifts will be canceled during this time except for the 8:00–10:00 AM mail shift, which will remain open to allow clients to check their mail.

New Phone System:
We have implemented a new automated phone system to improve call routing and overall efficiency. Callers to the main desk will now hear a menu that directs them to the appropriate staff member or department. If a caller does not hear the option they need, their call will still be routed to the main desk for volunteer assistance. This enhancement is expected to reduce the volume of calls received at the phone desk.
Callers to the main phone line will hear the following options:
- Housing (Anna Walsh)
- Donations (Jim Fulkerson)
- Volunteering (Keesha Gardner)
- Mail (Mailroom, ext. 151)
- Birth Certificates and IDs (Kirby Chait)
- Accounts Receivable (Traci Profitt)
Additional options:
- Press 9 to leave a voicemail in the general mailbox (after hours)
- Press 0 to connect with a staff member

Mail Policy Changes:
To reduce barriers for clients, we’ve updated how mail inquiries are handled.
Effective immediately:
- Clients may call to check their mail status with the mailroom volunteer at extension 151.
- Volunteers and staff may only respond “yes” or “no” when confirming if mail is available.
- Please do not share the number of items received or the sender of the mail.
Important Reminders:
- Clients picking up mail in person must present a valid photo ID or obtain a mail verification slip from the intake office.
- Please do not discard mail verification slips, as this could lead to misuse.
- Only staff members (not volunteers) may verify client identity.
Stay tuned for information about checking mail for Outreach clients.

Subject: St. John Center Volunteer Updates – Phone System, Mail Policy, Open Shifts & Feedback Opportunities:
Dear Volunteers,
We are excited to share several important updates that are now in effect at St. John Center. These changes are designed to improve communication, enhance efficiency, and better serve both our clients and volunteers.
Update #1: New Phone System:
To streamline incoming calls and better connect callers with the appropriate staff, we have implemented a new automated phone system.
When individuals call the main desk, they will be guided through an automated menu that directs them to the appropriate staff member or department. This will help reduce the volume of calls routed through the main desk. If a caller does not hear the option they need, their call will still be directed to the main desk, where a volunteer can assist them.
Update #2: Mail Policy Change:
We have updated our policy regarding mail inquiries to reduce barriers for clients who previously had to visit in person to check their mail.
Effective immediately:

- Callers may check their mail status over the phone with the mailroom volunteer.
- A phone has been installed in the mailroom for this purpose. Volunteers can be reached at extension 151 to assist with mail inquiries.
- Volunteers and staff may only confirm “yes” or “no” as to whether mail is available.
- Please do not share the number of items received or the sender of the mail.
This adjustment helps minimize unnecessary trips while maintaining client confidentiality.
Please note:
- Clients picking up mail in person must still present a photo ID or obtain a mail verification slip from the intake office. Please do not throw mail verification slips in the trash, as other clients may retrieve that verification slip and get another client’s mail.
- Only staff members (not volunteers) are permitted to verify client identity.

Volunteer Reminder: Front Door Access:
For the safety and well-being of everyone at St. John Center, we kindly ask that volunteers do not buzz clients into the building or open the front door for entry.
All clients must be greeted and checked by our Safety and Services team, who are responsible for ensuring that each individual entering the building is authorized and accounted for. This process helps maintain a safe environment and prevents entry for individuals who may not be permitted in the shelter.

Mailroom Notice:
Due to ongoing issues in the mailroom, effective immediately, only the designated mailroom volunteer will be allowed access to the mailroom. Barred mail has been moved to Kirby’s office, and staff will check the barred clients mail.
Unfortunately, over the past several months there have been several SJC policy violations related to mail handling, as well as client complaints regarding their mail that we have had to address. To ensure compliance with policy and to protect client services, we are limiting access to these areas moving forward.

Starting in March, I’ll be hosting a monthly virtual volunteer connection meeting on the 2nd Wednesday of each month (we’ll skip April because of our Annual Volunteer Celebration).
