All volunteer shifts will be canceled for the day, with the exception of the mailroom shift from 8:00–10:00 a.m. to allow clients to check their mail. - Join us for the Dona O’Sullivan Fund to Fight Homelessness on Monday, September 15, 2025, at Flanagan’s Ale House, 934 Baxter Ave. Doors open at 11:00 AM.

Phone Station Volunteer Tutorial:
Thank you for volunteering at the phone station. Your role is an important one, as you are both the voice of the front desk and the person responsible for distributing essential in-kind items to clients. Please review the following instructions carefully:
1. Greeting Clients and Distributing In-Kind Donations
You are responsible for handing out in-kind items such as:
- Underwear
- Socks
- Ponchos
- Reading glasses (readers)
Procedure:
- Greet each client warmly.
- Ask the client for their first and last name.
- Before distributing an item, confirm they have not already received one today.
- Clients are allowed one item per day from this category (e.g., one pair of socks or one pair of underwear).
- After giving the item, place a check mark in the box beside the item on the tracking sheet to record the distribution.
2. Answering the Phone
- Answer with a friendly and professional greeting. Example:
“Thank you for calling St. John Center, this is [Your Name]. How can I help you?” - If the caller asks to speak with a specific client:
- Place the caller on hold.
- Use the paging system to page the client by name.
- If the client approaches the desk, transfer the call to the client phone station.
3. Privacy and Confidentiality
Client privacy is critical. Please remember:
- Never confirm or deny whether someone is a client.
- Never share if a client has checked in for the day.
- Never give out any mail information over the phone.
If a caller is asking about mail:
“I’m sorry, but we are unable to share mail information over the phone. The client must come in person with a photo ID to check their mail.”
4. Referrals and Information Requests
If someone calls asking for information about Sheehan Landing or seeking a referral, please provide them with the contact for Common Assessment:
“You can reach Common Assessment at 502-637-2337 for referrals and assistance.”
If You’re Unsure or Need Help
Please ask a staff member for assistance if you’re ever unsure about a situation or how to respond.

Client Sign-In Tutorial
- Greet the client warmly as they arrive. A simple “Good morning!” or “Welcome!” goes a long way.
- Check the client in using the digital client roster:
- You can scroll through the list or type their name into the search bar.
- Once you find the client’s name, click the box next to it to sign them in.
- If the client is not on the roster (either it’s their first visit or it’s been more than 60 days since their last one):
- Kindly ask them to print their name on the paper intake list.
- Let them know a staff member will call their name shortly to complete the intake process.
- Invite them to have a seat while they wait.

Shower Room Tutorial:
1. Signing Up for a Shower
- Showers are available on a first-come, first-served basis. There are 5 showers (1 shower is ADA compliant).
- Please have the client sign the shower list. If there is a shower available, the client can go right in. If the showers are full, ask the client to sign the list and have a seat.’
- Page the client when it’s their turn for a shower.
2. What We Provide
- A clean towel
- A washcloth
- Soap, toothbrush, toothpaste, shampoo, and basic toiletries (as available)
3. After Clients Shower
- Ask the client to place all used towels and washcloths in the designated laundry bin.
- If clients request extra items after their shower, please provide them if available and notify staff if supplies are running low or depleted.
Towel & Washcloth Washing:
Please follow the steps below when washing dirty towels and washcloths:
- Load Limit: Wash no more than 6 towels at a time. Do not overload the washers.
- Add Supplies: Add detergent and a small amount of bleach to the washer for sanitation.
- Wash Cycle: Start the washer and allow the cycle to complete fully.
- Drying: Once the wash cycle is done, transfer the towels and washcloths to the dryer immediately.
- Folding & Storage: After the dryer finishes, fold all items neatly and put them away in their designated storage area.
Important: For sanitary reasons, we do not wash clients’ clothing or personal belongings.

Coffee Room Tutorial: Serving Coffee
Step 1: Prepare the Coffee
- Make sure the coffee pots are full and hot. If it’s empty, brew a fresh pot using the coffee machine.
Step 2: Greet the Client
- Greet each guest with a friendly smile, and ask the client how they take their coffee:
- You may add up to 3 spoons of sugar and 3 spoons of creamer maximum per cup, based on the client’s request. Ask the client to keep their cup for the next cup of coffee.
- Offer the client a snack with their coffee.
- Clients may get as much coffee as they want while the coffee room is open.
Step 4: Serve Safely
- Hand the cup to the guest carefully.
Step 5: Keep It Clean
- Wipe down spills, restock supplies, and keep the area tidy throughout your shift.

Mail Sorting & Filing:
Purpose: To ensure mail is sorted and filed efficiently so it’s easy to locate when needed.
Step 1: Sort Mail Alphabetically by Last Name
- Gather all new mail and sort in the file tray.
- Look at the name on each envelope – focus on the last name.
- Then, within each pile, sort the mail in strict alphabetical order:
- Example:
- Anderson
- Brown
- Carter
- Davis
- Example:
️ Step 2: Locate the Correct File Folder
- Go to the file cabinet labeled for mail or client files.
- Open the drawer that matches the last name’s first letter.
- For example, “Brown” would go in the “B” section.
- Look through the hanging foldersalphabetically until you find the correctlast name.
- Some clients may share a last name—verify with first name or middle initial if needed.
Step 3: File the Mail
- Once you locate the right folder, place the mail neatly inside in alphabetical order.
- Do not bend, fold, or force mail into overstuffed folders—ask for help if it’s too full.
- Close the folder and double-check that you didn’t misfile it.
Tips for Success
- Always file by last name, even if the envelope only shows a first name (ask a staff member if unsure).
- Keep the drawers neat.
- Please see Keesha or a staff member with any questions.

- Assist clients with quick errands or social needs
- Organize and restock the kitchenette
- Set up games and activities in the community room and courtyard
2. Morning Meal Volunteers (“Breakfast Runners”)
Schedule: Monday–Friday, 8:00–10:00 a.m.
Responsibilities include:
- Picking up breakfast items from Dare to Care
- Setting up a continental breakfast in the conference room
- Supporting coffee service and light food distribution
3. Pantry Supply Volunteers (“Pantry Runners”)
Schedule: Tuesdays and Thursdays 12-2p.m.
Duties include:
- Picking up building-wide food supplies from Dare to Care
- Restocking and organizing pantry supplies
4. Pantry Distribution Volunteers (“Pantry Hosts”)
Schedule: Tuesdays and Thursdays, 2:00–4:00 p.m.
These volunteers will assist in:
- Organizing the pantry
- Distributing food and supplies to residents

This is a friendly reminder to dress comfortably and appropriately for your volunteer shift. We recommend modest, weather-appropriate clothing that you don’t mind getting a bit dirty. Branded volunteer shirts are available. Please see Keesha or Ashley if you need an SJC T-shirt.
To maintain a respectful and welcoming environment for everyone, we kindly ask that you avoid clothing that may be considered offensive, overly graphic, contain foul language, political messages, or is sheer/see-through. While we value individual expression, it’s important that all clients, staff, and volunteers feel comfortable and respected at the shelter.
