SJC Updates: Mail disclosure, Phone System Updates, Open Shifts and Comment Box:
Hello Volunteers,
This email is packed with important updates and information you won’t want to miss!
We’re excited to share a few upcoming changes:
Update #1: New Phone System:
A new automated phone greeting is currently underway. When callers contact the main desk, they will be guided through an automated system designed to connect them directly to the appropriate staff member or department. This will help reduce the number of calls routed through the main desk. If a caller does not hear the option they need, their call will still be directed to the main desk, where a volunteer can assist them.
Update #2: Mail Policy Change:
St. John Center has updated its policy regarding mail inquiries over the phone. We recognized that requiring clients to come in person to check their mail created a barrier for some individuals.
Moving forward:
- Callers will have the option to check their mail status with the mail volunteer via phone.
- Volunteers and staff may only confirm yes or no as to whether mail is available.
- Please do not share how many pieces of mail a client has or where the mail is from.
This change helps reduce unnecessary trips for clients while maintaining confidentiality.
When clients come to the mailroom, they must still present a photo ID or obtain a mail verification slip from the intake office. As a reminder, only staff members—not volunteers—are permitted to verify client identity.
Keesha will be connecting with volunteers to review this update, and signage will be posted as a reference. Please reach out to Keesha or Ashley with any questions or concerns.
Update #3: Volunteer Feedback & Suggestion Box:
To enhance communication, we’ve added a Complaint/Suggestion/Feedback/Donation Box in the volunteer room. Paper forms are available on the desk in the volunteer room, along with volunteer orientation flyers. Access the digital links below for easy access. Simply complete any volunteer shift during the month of March, and your name will automatically be entered into the raffle.
Volunteer Reminder – Client Assistance & Storage Areas:
Just a friendly reminder: if a client is asking for clothing or other items that are not available at the front desk, please contact a member of the Safety & Services team to assist them.
For safety reasons, clients are not allowed in the storage area under any circumstances. Your help in following this policy keeps everyone safe and ensures items are properly managed.
Thank you for your attention and for all the amazing support you give our clients!
Friendly Laundry Room Reminder:
We now have a new washer and dryer for soiled linens. Please remember that we do not wash clients’ personal items under any circumstances due to health regulations. Before placing soiled linens in the washer, be sure to check the laundry baskets carefully to ensure no personal items are included.

Mailroom Notice:
Due to ongoing issues in the mailroom, effective immediately, only the designated mailroom volunteer will be allowed access to the mailroom. Barred mail has been moved to Kirby’s office, and staff will check the barred clients mail.
Unfortunately, over the past several months there have been several SJC policy violations related to mail handling, as well as client complaints regarding their mail that we have had to address. To ensure compliance with policy and to protect client services, we are limiting access to these areas moving forward.
